The Smart Q-Commerce Era for Pharmacies: Transitioning from Disorganized Shelves to Quick-Commerce

Hızlı Ecza aimed to deliver over-the-counter (OTC) products, dermocosmetics, and personal care items directly from local pharmacies to consumers, avoiding marketplace commissions and delivery bottlenecks. They faced a logistical problem unlike that in traditional e-commerce. There was no central warehouse, pharmacies operated without a shared ERP infrastructure, and orders had to be picked from independent brick-and-mortar shelves and delivered within minutes. While similar multi-stakeholder architectures often stall in lengthy development cycles, Quintet Works engineered the entire ecosystem from product strategy to execution. By designing a proprietary distributed inventory clustering system and an intelligent route optimization engine from the ground up, the platform reached production readiness and went live in just 4 months.

Opportunity in Crisis: How the Lack of Dark Stores Shaped a New Architecture

While implementing the Hızlı Ecza model, the team encountered four significant operational and technical challenges that standard e-commerce platforms could not address:

  • Fragmented and Asynchronous Inventory: Member pharmacies did not use a standardized inventory management system. Shelf stock was sold to walk-in customers, and inventory was tracked manually. Unlike the standard approach of displaying stock from a central warehouse, consolidating real-time inventory from multiple independent pharmacies into a unified cart required a custom clustering algorithm.

  • Multi-Stop Order Splitting: A single customer order could include items from several pharmacies. Without an intelligent routing and order-splitting system, couriers would need to travel inefficient routes, causing significant delivery delays.

  • Field GPS Dead Zones and Hardware Limitations: Couriers used a wide range of mobile devices. Battery-saving protocols often restricted background location services, and unstable network connections caused telemetry data loss.

  • In-Store Stock Collisions: If the last unit of a product was sold in-store, there was no automated process to reroute and fulfill a concurrent online order, often resulting in the cancellation of the entire online basket.

Beyond Visual Interface: Prioritizing Distributed Logistics and Operational Intelligence

Quintet Works went beyond visual interface design by analyzing operational workflows and developing four interconnected real-time tiers:

  • Consumer Application (iOS & Android): An intuitive mobile app that aggregates inventory from nearby pharmacies, displays over 1,200 unique SKUs, hides fulfillment complexities from users, and provides real-time courier tracking.

  • Courier / Driver Application: A dedicated mobility app that supports a continuous pick-and-deliver dispatch loop, provides step-by-step waypoint guidance, and maintains background telemetry using Transistor Software.

  • Pharmacy Merchant Portal: A tablet and web portal that notifies pharmacy staff of incoming orders, initiates preparation workflows, and prints QR-coded verification slips for courier handoffs.

  • Central Back-Office & Administration Console: A control center that manages behavioral marketing campaigns, oversees out-of-stock product transfers, and monitors real-time courier hardware health.

Game-Changing Engineering & Architectural Decisions

Distributed Inventory Clustering & Dynamic Matrix

The platform uses the user's live location to calculate a dynamic service radius. It then aggregates pharmacy stock catalogs within this area. Without a physical warehouse, consumers access a unified catalog of over 1,200 unique OTC and dermocosmetic SKUs, matching the selection of a central mega-store.

Intelligent Order Splitting & Bidirectional Route Engine

For each customer order, the engine breaks it into micro-tasks. Couriers do not follow a fixed pick-up and delivery sequence. Instead, the routing algorithm dynamically balances workloads, such as managing seven active orders across three pharmacies. A courier may pick up from Pharmacy A, deliver to a customer en route, and then proceed to Pharmacy B. If transit times risk breaching service levels, the system automatically assigns split orders to multiple couriers for simultaneous delivery.

Seamless, High-Precision Location Tracking via Advanced Geofencing

Instead of using power-intensive, time-based polling, the platform uses displacement-based geofencing. Courier coordinates are sent to the server only after a 50-meter change in location, reducing network and battery usage. During cellular outages, coordinates are stored locally with timestamps and uploaded upon reconnection, ensuring complete dispatch records.

Root-Cause Analysis via Hardware & Battery Telemetry

Courier charging status, battery levels, and OS power modes are logged with telemetry data. Production data showed that mobile operating systems restrict background location tracking to below 20% battery. This finding led to a mandatory 20% minimum battery policy for all couriers.

QR Code Verification & Autonomous Back-Office Transfers

When an order is dispatched, the pharmacy prints a physical receipt: single-source orders print as Receipt-1.1, while split orders print as Receipt-1.2 with unique barcodes. Couriers scan the QR code to confirm pickup. If an item sells out before collection, the pharmacist flags it, and the back-office system reroutes the missing SKU to the nearest pharmacy with stock or starts a substitution process, avoiding order cancellation.

Behavioral Targeting & Dynamic Campaign Engine

User sessions, cart abandonment times, order frequency, and category preferences are analyzed using over 60 behavioral filters. For privacy-sensitive categories, such as pregnancy test kits, automated incentives, and targeted real-time prompts increased direct checkout conversions.

Future-Proof Architecture: Cross-Industry Scalability

The distributed inventory aggregation, multi-stop order splitting, and dynamic routing engine developed for Hızlı Ecza can be applied to other retail and logistics sectors with fragmented supply chains, without requiring foundational code changes:

  • FMCG & Ship-from-Store Retail: Enabling supermarket or fashion chains to unify scattered urban store shelves into an aggregated digital catalog delivered via a consolidated courier fleet.

  • B2B Emergency Replenishment & Industrial Spare Parts: Sourcing and dispatching mission-critical spare parts from disparate wholesale suppliers directly to construction or automotive repair sites on demand.

  • Regulated Medical Logistics: Managing chain-of-custody transfers of biological specimens, clinical documents, and time-critical medical supplies between labs, clinics, and hospitals with timestamped telemetry.

Why Quintet Works?

  • Architectural Vision That Reduces Overhead: Instead of requiring startups to invest in central warehousing and real estate, Quintet Works develops software that unifies existing retail assets into an integrated supply chain.

  • Rapid Delivery in Critical Situations: Quintet Works efficiently addresses complex mapping, telemetry, and orchestration challenges y, delivering production systems ahead of schedule without lengthy discovery phases.
